INSTRUCTIONS FOR DIP PRESENTERS

In order to prepare a Digital Interactive Presentation please send the file of your data in digital format (disks, CDs or email) in advance to following address:

If you do not send your presentation prior to the deadline your presentation will not have the digital interactive advantages. After the deadline we can only guarantee the projection of the abstract text as submitted (without figures). There will be no on-site preparation of DIP's in Vienna.

The deadline is essential, and must be adhered to so that the considerable amount of advance preparation can be completed in time. The experience with DIP sessions has encountered wide and enthusiastic acceptance by the audience, presenters and chairpersons of previous meetings. All presenters were able to send digital data to prepare the DIP, independent of the country, of the computer equipment and of the software. Interactive Presentations have now become an integral and successful component of our Meetings. This system aims to increase the participation of the audience and to improve the discussion during the sessions. In this style of presentation the scientific data of the abstract will be projected on a big screen with a program that allows the magnification of details (text, figures, tables and graphs) during the presentation and during the discussion.

 

INSTRUCTIONS FOR YOUR PHOTO OR DIGITAL ARTWORK

  1. Although there is a wide range of programmes and formats available for the file, experience has shown that the most widely used format for preparing the digital presentation is PowerPoint®. We therefore chose this format.
  2. You will be emailed a file: DIP.ppt. This is a template that you can easily fill with your data (i.e. Text, Tables, Figures). You can change the colours of the text and of the background. This template is specifically designed to increase the readability of your presentation.
  3. Rename your file according to your programme number (e.g. DIP.ppt becomes 13698.ppt) and send it as soon as possible.
  4. Orientation must be Landscape
  5. Insructions on creating your DIP are included in the DIP.ppt template
  6. Pictures in your Presentation should be processed in XGA resolution
  7. If possible, embed the fonts in your Presentation. PowerPoint (PPT) 97: click Save As, Embed True Type. PPT 2000: Save As, Tools menu, Embed TrueType Fonts. PPT 2002: Save As, Tools, Save Options, Embed True Type Fonts, select Embed all characters  
  8. The size of the file should not exceed 4 Megabytes. If you send the file by e-mail, it should not be larger than 3 Megabytes.

   

INSTRUCTIONS FOR DIP PRESENTERS/2 

  1. The files must be sent on PC formatted diskettes, ZIPs, CD-ROMs or e-mail

  2. Please notice two general rules which are necessary for preparing an effective DIP:
    ·         special emphasis should be given to figures, graphs and tables.
    ·         the presentation is not a paper, it should not contain long sentences, but only key words and short explanations.

  3. Please note that the Digital Interactive Presentation will not improve or diminish the quality of your original artwork. You will get what you put into the template file

  4. If a problem occurs in converting you data you will be informed in time. You will be contacted only if something is wrong with your data

  5. In Vienna you will be able to check your presentation in the digital preview room, but you will NOT be able to make later corrections

INSTRUCTIONS FOR REDUCING THE DATA SIZE

If you experience difficulty in sending your file as it is very large, please check the following points:

1) Check if grey-scale figures have been really scanned in greyscale modus (and not in color). This will save 60% of disk space

2) A sufficient quality for DIP can be obtained with figures of this size: 0.8 MB for greyscale picture; 2.4 MB for Color picture

3) Insert the pictures in JPG instead of TIF format. You will notice that size of your PowerPoint file is much smaller if you insert the pictures as JPG then as TIF file

4) Backgrounds in bitmaps are not necessary for DIP. They are rather confusing. Please use one single color or white for backgrounds

5) You may use WinZip for lossless compression. A free copy of WinZip can be downloaded at: www.winzip.com

6) If your file is still too big please send it on a CD-ROM
