INDUSTRY SATELLITE SYMPOSIA

A satellite symposium is a corporate or product related function at which a formal scientific presentation is made.  Satellite symposia MUST NOT conflict with the main scientific or social programme of the Annual Meeting.  A limited number of session slots will be available to book at the Lisbon Congress Centre (CCL) at the following times:

Available Slots (75 minutes duration per slot – times subject to change)

Thursday 10 October: 12:15-13:30 & 18:00-19:15
Friday 11 October: 12:15-13:30

It should be noted that, in the first round of slot allocations, preference will be given to partners who have taken booth or learning lab space on the exhibition floor. Satellite slots will be allocated on a first-come, first-served basis.

Cancellation

Notice of cancellation must be given to the EACTS Secretariat in writing at the address on the Industry Opportunities Booking Form.  For any cancellation prior to 4 August 2024, a cancellation charge of 25% of the total charge for the satellite meeting will be made and a refund of any charges already paid in excess of this amount will be made.  The full charge of the sponsorship will be liable if notice of cancellation is received after 4 August 2024.  Full cancellation terms and conditions can be found HERE

Force Majeure

In the event that the Annual Meeting cannot be held due to events beyond the control of EACTS and is subsequently cancelled, postponed, moved or changed due to, including, but not limited to:

  • An event of “Force Majeure” meaning an event beyond the reasonable control of EACTS, which prevents EACTS from complying with any of its obligations, including but not limited to:

– act of God (such as, but not limited to, fires, explosions, earthquakes, drought, tidal waves and floods);

– war, hostilities (whether war be declared or not), invasion, act of foreign enemies, mobilisation, requisition, or embargo, national mourning;

– rebellion, revolution, insurrection, or military or usurped power, or civil war;

– contamination by radioactivity from any nuclear fuel, or from any nuclear waste from the combustion of nuclear fuel, radio-active toxic explosive, or other hazardous properties of any explosive nuclear assembly or nuclear component of such assembly;

– riot, commotion, strikes, go slows, lock outs or disorder closure of airports and train stations;

– acts or threats of terrorism.

  • Any reason(s) beyond EACTS’s or any of its suppliers’ control that prevents or substantially hinders the plan of holding the Annual Meeting.

Under any of the above circumstances, EACTS cannot be held liable by participants for the refund of any Sponsorship Fees, or any damages, costs, expenses or losses incurred, whether directly or indirectly, as a result of the cancellation, postponement of the Annual Meeting or if it decides to hold the Annual Meeting remotely, such as transportation costs, accommodation costs, financial losses, etc. Individuals take part in the 37th EACTS Annual Meeting at their own risk and are responsible for their own health and travel insurance arrangements.

Health Risks

In the event of any potential health risk (for example, a pandemic or epidemic situation and other major health risk). EACTS’ statute as an international health association compels EACTS to pay particular attention to the potential health risks for participants and their patients and it shall be entitled to take all necessary measures, including cancellation or postponement of the Annual Meeting, in such a situation where it deems appropriate (in its sole discretion). In such circumstances EACTS reserves the right to retain the Sponsorship Fees and transfer them to the 38th EACTS Annual Meeting. EACTS shall have the right to hold the 37th EACTS Annual Meeting online with participants accessing the meeting remotely where it deems that this is the most appropriate option. However, if EACTS does not hold the 37th EACTS Annual Meeting virtually then, EACTS may have the option of either transferring the booth fee to the 2024 Annual Meeting or shall refund the fees in full.

LEARNING LABS

Thursday 5 – Saturday 7 October

Learning Lab space can be booked in the Exhibition Hall for companies who wish to offer onsite training activities during the Annual Meeting.  The space should be used for training purposes only – i.e., hands-on workshops including wet/dry/simulation labs or other practical sessions.  These sessions will not form part of the official scientific programme of the Annual Meeting and should be scheduled at pre-defined times on an invitation only basis.  We recommend that you restrict trainings to 10-15 pax per session.

Learning lab space will be offered at a discounted rate for those companies who also book booth space in the Exhibition Hall.

Benefits include:

  • Ability to provide one-to-one training within your own branded area within the Exhibition Hall (NB space only – does not include structure/build costs)
  • Control and management of the list of invitees, organisation, on-site management and scheduling of sessions
  • Flexibility to promote your company through branding/presentation materials within your area

Frequently Asked Questions

Who manages the advance feature interview?

The marketing & communications agency for EACTS will conduct the interview. Upon booking confirmation, introduction will commence with discussion on further details, and a date will be agreed for the interview to take place.

How does the advance feature interview work?

An online or telephone interview will be arranged. Prior to this, the sponsor will be prompted to share background information on the subject. The interview will then be drafted and shared for the sponsor’s approval. Sponsor’s will receive a pdf of the final article for their use.

Can we choose the day of release for the interview/report?

Yes, however this must be agreed by the booking deadline. There are two 1-page interview/reports available per issue, and one double-page report available per issue.

In EACTS History, this city was host to the inaugural EACTS Annual Meeting, back in 1987. We are delighted to be returning to Vienna for the 6th time,  where we will raise the bar with a world-class educational programme as we discover, educate and innovate the future of cardiothoracic surgery.

Since its foundation, the EACTS Techno-College has emerged as one of the leading meetings in cardiac surgery worldwide.  Featuring innovation and technological breakthroughs in the field of cardiovascular and thoracic surgery as well as interventional cardiology.  The Techno-College programme will include live-in-a-box cases and state-of-the-art lectures, returning to a stand-alone full day format on Wednesday 5 October.

INDUSTRY SATELLITE SYMPOSIA AND LEARNING LABS

SATELLITE SYMPOSIA

A satellite symposium is a corporate or product related function at which a formal scientific presentation is made.  Satellite symposia MUST NOT conflict with the main scientific or social programme of the Annual Meeting.  A limited number of session slots will be available to book at the MiCo Convention Centre at the following times:

Available Slots (75 minutes duration per slot)

Thursday 6 October: 12:45-14:00 & 18:00-19:15
Friday 7 October: 12:45-14.00

It should be noted that, in the first round of slot allocations, preference will be given to  partners who have taken booth or learning lab space on the exhibition floor.

Satellite Fees:

Option A : 0-200 pax capacity* : €20,000 per slot   
Option B:  201-500 pax capacity* : €25,000 per slot
* theatre style set up.  Please note that the capacities listed above DO NOT include any social distancing regulations. Should social distancing be enforced at the time of the Annual Meeting, room capacities will be reduced accordingly.
Media Library Fee (hosting for 1 year): €2,500 per satellite slot

Satellite slots will be allocated on a first-come, first-served basis.  Benefits include:

  • room hire including standard heating, air cooling, power
  • chairs for participants set up in a theatre style format
  • table and chairs for two to four moderators, applicable to the size of the room, with amplification as necessary
  • 1 x speakers lectern with laptop/PC and amplification applicable to the size of the room
  • central projection screen and data projector applicable to the size of the room
  • basic PA system including audience and speaker microphones applicable to the size of the room
  • sign at the entrance to the room incorporating satellite title and company logo (if required)
  • permission for the placement of 1 roll-up banner advertising the symposium (max 1 x 1.5m) beside the entrance to the allocated session room (to be positioned no earlier than 30 minutes prior to the symposium)
  • Company name/logo, satellite title, date and time advertised on the Satellite Information Board in the conference venue
  • announcement of satellite title and contact details on the satellite page of the Annual Meeting website incorporating a programme and/or company website link (if required)

 

Please note, all satellite faculty will be expected to present in-person on site in Milan.   

The above fees do not include registration for your invited faculty.  ALL chairs/speakers involved in satellite programmes must be registered as delegates for the EACTS Annual Meeting unless they are participating in the main EACTS scientific programme. When making a booking please ensure that you allow sufficient time for any catering activity, build up and breakdown.  Companies requiring time in addition to that listed above should contact the EACTS Executive Secretariat and be aware that extra charges may be incurred.

LEARNING LABS

Learning Lab space can be booked in the Exhibition Hall for companies who wish to offer onsite training activities during the Annual Meeting.  The space should be used for training purposes only – ie, hands-on workshops including wet/dry/simulation labs or other practical sessions.  These sessions will not form part of the official scientific programme of the Annual Meeting and should be scheduled at pre-defined times on an invitation only basis.  We recommend that you restrict trainings to 10-15 pax per session.

Learning lab space will be offered at a discounted rate for those companies who also book booth space in the Exhibition Hall.

Benefits include:

  • Ability to provide one-to-one training within your own branded area within the Exhibition Hall (NB space only – does not include structure/build costs)
  • control and management of the list of invitees, organisation, on-site management and scheduling of sessions
  • flexibility to promote your company through branding/presentation materials within your area
  • Learning Labs will be specially branded within the Exhibition Hall and advertised in the Annual Meeting App and on the EACTS website.

Reservation and Payment Procedures

Bookings will not be confirmed until the official booking form has been completed, signed and returned to the EACTS Executive Secretariat. Confirmation of space will be made once the booking form has been received and a booking reference will then be issued.  An invoice for the full amount of the satellite slot/learning labs will follow separately.

 

Payments must be made in Euros by bank transfer within 7 days of the date of the invoice otherwise the space will be released.  Please quote the booking reference and invoice number when making the payment:

Cancellation

Notice of cancellation must be given to the EACTS Secretariat in writing at the address on the Industry Opportunities Booking Form.  For any cancellation prior to 5 August 2022, a cancellation charge of 25% of the total charge for the satellite meeting will be made and a refund of any charges already paid in excess of this amount will be made.  The full charge of the sponsorship will be liable if notice of cancellation is received after 5 August 2022.  Full cancellation terms and conditions can be found HERE

Join us in-person in Milan for our popular in-person exhibition which will be held from 6-8 October offering a long-awaited return to face-to-face networking and social interaction.  We anticipate a high demand for onsite space, so early booking is essential.

The exhibition will provide the opportunity to interact with Annual Meeting participants and to educate, exchange and disseminate information on your latest products and services. Open from Thursday, 6 October until Saturday 8 October, exhibition space will be sold on a first-come, first-served basis at a cost of €602.50 per square metre + VAT.
